How you can contribute to meetings

All residents and ratepayers have the right to ask questions and raise issues with Council. There are 3 ways you can contribute to Council meetings.

Public question time

Public question time takes place during end-of-month Council meetings. There is no public question time in mid-month Council meetings.

Please check the meeting agendas ahead of time to find out which items the meeting will address.

You must submit questions online by 12 pm of the Council meeting day. 

You will have a maximum of 2 minutes to ask your question. 

If you are not at the meeting, the Chair will decide whether or not your question will be read and responded to.

If your question is not responded to at the meeting, a response will be shared at a later date in our meeting minutes.

Petitions

What is a petition?

A petition is a formal written request to the Council. It usually expresses a point of view and includes either a request for Council to take action, or a request for Council not to act on a matter. Petitions include signatures of people who support the request. 

How can you create a petition? 

A petition must be created in a specific way so that Council knows people who signed it understood what they were giving their support to. If a petition does not meet the requirements, it may not be presented to Council. 

A petition must:

  • be clear about its request
  • include information about the request on each signature page
  • not be attached to any other document that is not part of the petition, for example stapled or pinned to other documents
  • be written in pen, not pencil
  • be in English
  • be signed by at least 2 people
  • be signed only by the people whose names appear on it
  • clearly state the addresses of the people who have signed it.

If you are submitting an online petition, you must include email addresses in place of the signatures. 

A petition must not:

  • include language that is disrespectful to Council
  • include language that is defamatory, indecent, abusive or objectionable
  • relate to an issue that is beyond the powers of Council.

Joint letters

What is a joint letter? 

A joint letter attempts to influence Council into acting or making a decision about a certain issue. It may include several pages of information and context to support a certain viewpoint on the issue. Joint letters include signatures of people who support the request. 

How can you create a joint letter?

Types of meetings

There are different types of meetings that are open for the community to attend.

  • Council meetings – These meetings are usually held on the fourth Monday of each month, except in December when it is held on the third Monday. These meetings include public question time.
  • Mid-month Council meetings – These meetings are usually held on the second Monday of each month, except when there are public holidays. These meetings don't include public question time.
  • Additional meetings of Council – Sometimes an additional Council meeting is required in addition to those scheduled. These dates are advertised on Council's website.
  • Election of the Mayor – This meeting is held in November each year. The 2026 meeting will be on Thursday 19 November at 7:00 pm.

Council meetings are generally held in a hybrid format with the option of the community being able to attend in person or watch the meeting online.
